This works for most online services, utilities, and subscription providers that don't have a dedicated deceased-user process:

Tips for Sending These Effectively

Attach PDFs, not photos. Scan your death certificate and Letters Testamentary as clean PDFs. Phone photos of documents get rejected or lost in email processing systems.

Send from your own email, not the deceased's. Using the deceased's email account may trigger security flags, and some platforms will lock the account if they detect unusual login activity.

Keep a log. Track which companies you've contacted, the date, any reference number they provide, and whether the request was completed. Estate administration stretches over months — you'll contact some companies multiple times.

Follow up at 14 days. If you haven't received confirmation, send a brief follow-up referencing your original email date and any case number. Some companies process deceased-user requests through specialized teams that take longer than standard support.

Use platform-specific portals when they exist. Google, Apple, Meta, Microsoft, and Yahoo all have dedicated deceased-user request forms. These route to the right team faster than a general support email. Use the template format above for companies that don't have a specific process.
