When a Sikh family member dies in the UK or USA and the family wants cremation in Punjab, you're managing two processes simultaneously: the legal-diplomatic clearance in the country of death, and the receiving logistics in India. Neither waits for the other, and a single missing document can ground the shipment at either end.

The timing depends on document readiness, consular processing, and airline cargo schedules. Confirm the current sequence with the funeral director and the Indian consulate.

The Complete Document Packet

Keep the documents below together for consular, airline, and customs clearance. The exact packet and checking process can vary by route and carrier.

From the country of death:

• Official Death Certificate issued by the local registrar
• Medical Cause of Death Certificate (also called Free From Infection Certificate) — confirms the deceased did not carry communicable diseases
• Coroner's Out of England Order (UK) or local Transit Permit (USA) — legal clearance to transport remains across borders
• Embalming Certificate from a licensed embalmer — confirms the body has been prepared to IATA standards for air transport
• Consular Mortuary Certificate and NOC from the Indian Embassy or Consulate — this involves surrendering the deceased's Indian passport or OCI card for cancellation

For the shipment:

• IATA-compliant hermetically sealed zinc-lined coffin enclosed in a strong outer wooden casing, certified by the packaging funeral director
• e-CARE Portal registration — electronic clearance through India's Ministry of Health and Family Welfare portal at least 24 hours before flight departure
• Consignee Letter — a notarized letter from the receiving family member in India confirming they will receive the remains at the destination airport

The e-CARE Portal Step

India's e-CARE (Electronic Clearance for Arrival of Remains and Emigration) portal is mandatory for all incoming remains. The funeral director or the Indian embassy typically handles this, but you should confirm it's been done.

The registration must be completed at least 24 hours before the flight departs. It generates an electronic clearance number that Indian customs checks on arrival. Without it, the remains can be held at the airport.

What the Indian Embassy Actually Does

Contact the Indian Embassy or High Commission in the country of death as early as possible — ideally within the first 24 hours. They handle:

• Cancellation of the deceased's passport (Indian citizens) or OCI card
• Issuance of the Consular Mortuary Certificate
• NOC for transport of remains
• Coordination with the funeral director on document requirements

For Sikh families, the embassy staff are generally familiar with the urgency — Sikh tradition favors cremation within 24-48 hours, and while that timeline is impossible for international repatriation, the embassy understands the family's desire to minimize delays.

Airline Cargo Requirements

Airlines that fly the UK-India and USA-India routes handle human remains as special cargo. Key requirements:

• The zinc-lined coffin must be hermetically sealed — no leakage under any pressure conditions
• The outer wooden case must be strong enough for cargo handling
• Weight and dimensions must comply with the airline's cargo hold specifications
• The funeral director typically arranges direct booking with the airline's cargo department

Costs vary significantly by route, carrier, and provider. Request a written quote that separates cargo transport from embalming and coffin costs.

Receiving the Remains in Punjab

At Amritsar or Delhi airport, the designated family member (the consignee named in the letter) presents themselves at the cargo terminal with:

• Their own identity documents
• A copy of the consignee letter
• The death certificate
• The e-CARE clearance number

Indian customs inspects the documentation and releases the remains. From there, the family transports the body to the home or directly to the Shamshan Ghat for cremation.

The Alternative: Cremation Abroad and Ashes Transport

Many NRI families choose to cremate in the UK or USA and transport only the ashes to Punjab for immersion at Kiratpur Sahib. This is simpler, faster, and dramatically cheaper — ashes can be carried as accompanied luggage in a sealed urn with the death certificate and cremation certificate.
